Instawalk — Service Terms and Conditions

1. Purpose
These Service Terms govern bookings, photography, videography, rentals, add-ons, and related services provided by Instawalk Kft. By booking or using our services you agree to these terms.
In all booking arrangements, the person making the booking shall be deemed to have accepted this Agreement on behalf of the persons named in the booking.
2. Bookings, Rescheduling, and Provider Availability
Booking confirmation: All bookings must be confirmed through Instawalk’s official channels (website, social media, or direct message).
Rescheduling (complimentary): One complimentary reschedule is allowed if requested more than seven (7) days before the scheduled date. Rescheduled bookings are final and non-refundable.
Rescheduling within 7 days: Subject to availability and may incur an additional fee.
Provider unavailability: If the assigned photographer or service provider cannot perform, Instawalk will attempt to provide a replacement. If no replacement can be arranged, a full refund of the paid amount for the affected service will be issued.
Extra Providers & time:
All additional or reserved time blocks booked with a provider (photographer, videographer, assistance, makeup artist, hair stylist or other service provider) are considered reserved calendar time. These slots are non-refundable because the time is set aside exclusively for the client.
- Clients may cancel reserved time only if written notice is received at least 72 hours before the reserved start time.
- For cancellations made within 72 hours, the full fee applies even if the client does not attend.
- Other services that do not require exclusive calendar time may still be eligible for refunds according to the Refund Process.
Instawalk respects these reserved slots as part of the provider’s schedule; clients acknowledge that reserved calendar time must be compensated.
3. Photography and Videography Operations
3.1 Cooperation
Clients must cooperate with the photographer, communicate key event details, and, where possible, appoint a helper to assist. Instawalk is not responsible for missed photos resulting from lack of cooperation or guest refusal.
Instawalk aims to provide photography and videography sessions year-round, however, post-processing, editing, and customer support are available only during Hungarian office hours, excluding weekends and public holidays.
3.2 Deliverables and Feedback
Deliverables are the edited files specified at booking (JPG for photos, MP4 for videos unless otherwise agreed).
- Final deliverables will be stored and accessible for up to two (2) months after delivery. After this period, Instawalk is not responsible for continued access to downloadable files.
- Clients are encouraged to download and secure their media during this period or at the earliest.
If client feedback is required (e.g., for image selection or approval), clients must provide this feedback in a timely manner. If a client fails to provide required feedback within two (2) months from the date of request, Instawalk reserves the right to terminate the agreement and close the booking.
3.3 Raw Files and Pricing
Raw (unedited) files are not included in standard packages. They may be purchased separately. Raw file prices range from €100 to €1,500 depending on the package, number of files, and photographer agreement. Specific pricing will be provided upon request or at the time of booking.
3.4 Professional Videography and Edited Deliverables
When hiring a videographer for professional videography or filmmaking services through Instawalk, clients are entitled to receive only the final, edited video deliverable corresponding to the package selected at the time of booking.
Unedited or raw footage is not included in any of our Basic Plans and is not provided under standard delivery conditions.
However, we understand that some clients may wish to have more control over the final outcome. Therefore, Instawalk covers the expense for up to two (2) scene replacements free of charge, performed by our in-house editor.
Any additional scene replacements, re-edits, or change requests beyond the initial two (2) complimentary revisions will be subject to additional fees based on the scope of work required.
4. Media Rights and Usage
Clients receive non-exclusive personal usage rights for delivered media (personal sharing, social media, printing for personal use).
Commercial use (advertising, resale, promotional use) requires written permission and may incur licensing fees.
Non-Usage Option:
- If requested before the shoot — Instawalk will not use the media and no fee applies.
- If requested after the shoot — a 20% non-usage surcharge of the total service fee will apply. Notify info@instawalk.eu to exercise this option.
5. Rental Property & Equipment
Clients must return rented items in the same condition they were provided.
Any damage, loss, or misuse will result in the client being charged for repair or replacement.
Example: severe damage to a Flying Dress → €280 tailoring replacement fee.
6. Service Guarantees & Revisions
6.1 Satisfaction Guarantee
If a client is not satisfied with the photographs from their session, they may activate the Satisfaction Guarantee covering photographer and editor service fees. The refund under this guarantee equals 70% of the total session fee. The remaining 30% covers transaction, administrative, and accounting costs. No photographs or deliverables will be released under this guarantee. This applies only to the original session and not to rescheduled sessions or re-edits.
6.2 Deadline Guarantee
Instawalk guarantees delivery within the advertised turnaround. If delivery fails within the agreed timeframe (excluding client-caused delays, weekends, and official Hungarian public holidays), the client will receive a full refund for that service. Delays caused by missing client feedback, upload delays, or force majeure are excluded.
6.3 Rush Orders
Rush orders are available for an additional fee and are calculated in business hours (weekdays; excludes weekends and Hungarian public holidays). If a rush order fails to be delivered within the guaranteed 72 business hours, Instawalk will refund the rush order fee in full and revert the delivery timeline to the standard schedule.
6.4 Free Offerings
Instawalk may include complimentary or promotional services with certain paid packages. Free offerings are governed by the following:
- Delivery Time: Fixed at 14 calendar days.
- Quality Standards: Free offerings may be more basic.
- Revisions: None. Deliverables are final.
- Limitations on Availability: Subject to availability and can be withdrawn.
- Exclusions: Some features may only be available in paid packages.
- Promotional Nature: May be altered or discontinued without notice.
- Client Responsibility: Acceptance implies acknowledgment of limitations.
- Feedback Mechanism: Encouraged, but no entitlement to revisions or refunds.
- Liability Waiver: Provided “as is” and free of charge.
- Delivery & Coordination: Client cooperation may be required; failure may delay or forfeit delivery.
7. Cancellations & Refund Process
7.1 Cancellation Eligibility
Bookings can be canceled. Refund eligibility depends on the service type and timing. Standard cancellations are allowed up to 72 hours before the scheduled service.
7.2 Mandatory Refund Request Procedure
- Send a written refund request to info@instawalk.eu from the original booking email, specifying date and service.
- Instawalk will provide a Refund Form. Sign and return (scanned copy acceptable).
- Refunds are processed only after the signed form is received.
7.3 Refund Fees & Timing
- Administrative fee: €35 or 15% of total refund amount, whichever is greater.
- Processing time: Up to 1 calendar months after signed form is received.
7.4 Basic Refunds
Requests made more than 72 hours before service are eligible for full or partial refunds, depending on service type and non-refundable add-ons.
7.5 Last-Minute Refunds
Requests made within 72 hours are generally not eligible. Exceptions for verified emergencies are at Instawalk’s discretion with a signed Refund Form.
8. Photographer Performance & Data Loss
Photographers use professional methods to prevent media loss. In the unlikely event of loss, corruption, or destruction of images or video files:
- Full loss: Full refund for affected service or suitable replacement.
- Partial loss: Refund proportional to the percentage of deliverables lost.
9. Copyrighted Music
Instawalk does not provide copyrighted music licenses. Clients are responsible for obtaining necessary music licenses for any public or commercial use of media.
10. Client Responsibilities & Expenses
Clients must assist the photographer (appoint a helper, identify key people, notify of important moments). Failure to assist may lead to missing images for which Instawalk is not responsible.
Clients shall reimburse reasonable out-of-pocket expenses (travel, parking, meals) if communicated and approved in advance.
11. Indemnity
Clients agree to indemnify and hold Instawalk harmless from claims arising from misuse of media, breach of terms, or infringement of third-party rights.

13. Updates to these Service Terms
We may update these Service Terms from time to time. The latest version will be published on our official website.
14. Liability Waiver
By booking, providing, or participating in any service, rental, or activity arranged by Instawalk Kft., all participants—including the Client, members of the Client’s party, and any Instawalk service provider (such as photographers, videographers, makeup artists, assistants, or guides)—acknowledge and agree to the following:
Assumption of Risk: All participants voluntarily assume all risks associated with participation in the services. This includes, but is not limited to, risks of personal injury, illness, death, emotional distress, property damage, equipment theft, or any other loss, which may arise from travel, use of rental equipment, site-specific hazards, weather conditions, accidents, or the actions or inactions (including negligence) of other participants, Instawalk staff, or third parties.
Release of Liability: To the fullest extent permitted by law, all participants (including Clients and Service Providers) hereby release, waive, and discharge Instawalk Kft., its affiliates, officers, agents, and employees from any and all claims, liabilities, demands, and actions arising out of or related to any loss, damage, or injury (including death) that may be sustained by them, or to any property belonging to them, in connection with the services, regardless of whether such loss is caused by the negligence of Instawalk Kft. or otherwise.
